What I collect when you book a massage, why I need it, who else sees it, and what you can ask me to do about it. Plain English, no surprises.

01 Who this is about

Primordia Massage is a massage therapy practice run by Shae from a private studio in Melbourne's inner north. In this policy, "I" and "my" mean Primordia Massage.

02 What I collect

  • Booking details — your name, email, phone number and anything you write in the booking form, which is handled by Calendly, the scheduling service on my booking page.
  • Health information — what you tell me about pain, injuries, medical conditions, medication, surgery, pregnancy or how your body is feeling, plus my notes from each session. This is sensitive information, so I treat it more carefully than anything else here.
  • Payment — taken in person by card through Square. I never see or store your card number; Square handles that side entirely.
  • Messages — emails, texts and calls to arrange, change or follow up on an appointment, and appointment reminders.
  • Website visits — the site has no accounts and no contact form, so there's nothing to register. If you arrive from an advertisement, see section 06.

If you're under 18, a parent or guardian books and consents on your behalf.

03 Why I need it

  • To assess and treat you safely, and to keep a record of each session.
  • To confirm, reschedule or follow up on your appointment.
  • To send a reminder before your session, so it isn't forgotten.
  • To answer your questions and manage bookings.
  • To keep the records my insurer and the law expect me to keep.

I don't use your health information for marketing, and I don't sell or rent anyone's details to anybody.

04 Who else sees it

I keep this as small as I can. The services I use are:

  • Calendly — stores your booking and sends your confirmation and reminders.
  • Square — processes the card payment in the studio.
  • Google — I use Gmail for email and Google Fonts to display the type on this website.
  • My insurer and accountant — only where necessary, and only what's relevant.

Several of these are overseas companies, mostly based in the United States, so your information may be stored outside Australia. I pick providers that publish their own privacy and security commitments, but I can't control how they handle data in their own jurisdictions.

I'll only share your information with anyone else if you ask me to, or if I'm required to by law.

05 How long I keep it

Treatment notes are kept for seven years after your last session, or until your 25th birthday if you were a minor when I treated you — that's the standard for health records. Booking records and messages are kept for about two years. After that they're deleted or securely destroyed.

You can ask me to delete anything I'm not required to keep, and I will.

06 Advertising and cookies

I advertise on Facebook and Instagram. Where Meta's advertising tools are active on this site, Meta may receive information about your visit — such as which page you opened — and may use cookies to measure how an advertisement performed or to show it to people similar to my visitors.

I don't send Meta your name, contact details or any health information. The booking calendar is embedded from Calendly, so Calendly may set its own cookies while you use it.

You can limit advertising cookies in your Meta ad settings, or block cookies in your browser. The site works either way.

07 Keeping it secure

Bookings sit in a password-protected Calendly account. Treatment notes are kept securely and are only accessible to me. If I ever suspect your information has been mishandled, I'll tell you and tell you what I'm doing about it.

08 Your choices

You can ask me to:

  • show you what I hold about you;
  • correct anything that's wrong or out of date;
  • delete what I'm not required to keep;
  • stop sending you reminders or follow-ups.

Just email primordiadigital@gmail.com and I'll respond within 30 days. I may need to confirm who you are first, so nobody else can ask for your records.

09 If something goes wrong

Tell me first — most things are a quick fix. Email primordiadigital@gmail.com and I'll work through it with you.

If you're not satisfied with how I've handled it, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

10 Changes to this policy

If what I do with your information changes, I'll update this page and the date at the top. It's worth a read if you haven't been in for a while.
